Privacy Act Notification Statement

NIH eRA Commons

General:  Your Privacy is important to the NIH. The Federal Information Security Management Act (FISMA) and other federal information security regulations require the protection of records and data. This notice is provided pursuant to Public Law 93-579, Privacy Act of 1974, 5, U.S.C. Section 552a, for individuals supplying information to National Institutes of Health (NIH) Electronic Research Administration (eRA) Commons , iEdison, and other interactive systems in eRA.

Purposes and Uses:  Personally identifiable information (PII) entered into the Commons is used for NIH grant proposal submission and administration business processes. PII is information that is personal in nature that may be used to identify an individual. When a user account is established, PII is requested about users in the roles of applicants, awardees or the institutional organization staff/key personnel.   Submission of this information is voluntary however, in order to process a transaction, most fields are required.  A detailed description of the categories of individuals covered by the eRA system, the records maintained, and the routine uses of the records maintained in the system are found in SORN  09-25-0036.

Security: Following logon by an account holder, the associated grant-related information submitted by the user is collected, maintained, and disseminated through secure interfaces. Information is also provided securely to the account holder including the results of peer review and the deliberations of the Institute or Center to which the grant application has been assigned. Except for internal administrative purposes, the grant application is treated as confidential until an award is made. Upon award, the title, principal investigator name(s), abstract of the project, award amount are disclosed publicly. Other information may be made available beyond the NIH through: routine uses as described in the SORN, or through the NIH Freedom of Information Act Office subject to the provisions of the Freedom of Information Act 5 U.S.C. 552.

Your activity while using this site is not anonymous: to protect the site, NIH tracks the IP address that is used for access, how the system is used, login information, as well as the individual pages you visit.  The IP address is used to help verify user ID and to provide information specific to the user's interest and/or to respond to user queries.  When inquiries are e-mailed to the NIH, the question/comment and the e-mail address information are stored so that an electronic response can be composed and sent. Unless required by statute, the NIH does not identify publicly who sends questions or comments to the Commons site. You may access links from secure eRA pages to non-eRA sites.  However, The NIH Office of Extramural Research OER) is not responsible for information that may or may not be gathered from these linked sites. You will be notified if you are leaving the Commons pages.
